Step 2 — Match & Hold


We confirm availability and send:

    •    Square invoice(s) (all payments through Square)

    •    Required paperwork (agreement + house standards acknowledgement)

    •    If requested: reservation option selection (Block Hold vs Rolling Hold)


Step 3 — Confirmed


Dates become reserved only when:

    •    Required payment is received by the invoice due date, and

    •    Required paperwork is completed


Step 4 — Ongoing


Stays continue by weekly periods under the terms below unless written end/change notice is received in time (or per block-hold early release terms).

How We Bill


To keep payment clear and avoid proration disputes, billing is structured in weekly periods:

    •    Weekly billing periods: Friday–Thursday

    •    Mid-week arrivals: billed as a short stub period through Thursday, then transition to the standard weekly cycle

    •    Invoice timing: invoices are typically issued Thursday for the upcoming Friday–Thursday week (or at placement start/extension)


Direct Bill Terms (Staffing Companies)


Direct-bill payments are handled by Square invoices (not a generic portal payment), so tracking stays clean.

    •    Terms: Net 7 (due within seven days of invoice date; due date shown on invoice)

    •    Required references for AP processing:

    •    PO/Assignment (if applicable)

    •    Traveler/Period (traveler name + occupancy dates)


Account standing: extensions are confirmed only when the account is current (no past-due invoices and any required advance-week credit maintained).

Staffing companies can select one reservation option per placement.


Option 1 — 13-Week Block Hold (Stability)


This option is designed for agencies that want a full assignment window held.

    •    We reserve the unit for the anticipated 13-week window

    •    Early release: requires fourteen (14) days’ written notice

    •    Traveler substitution permitted with written approval; turnover/reset fees may apply if the occupant changes

    •    Block hold is subject to the account being in good standing


Option 2 — Rolling Hold (Flex)


Designed for high in/out changeover where the agency wants flexibility.

    •    The stay continues week-to-week and auto-renews unless written end/change notice is received by the applicable cutoff

    •    Minimizes long-hold vacancy risk

    •    Availability is not guaranteed beyond the rolling hold window
